The Reception Supervisor will report to the Business Office Manager.

 

Previous experience leading a team is a big plus but not required. We're eager to hear from all interested candidates with a plesant attitude and willingness to learn.

Responsibilities

Leadership & Collaboration

  • Support and collaborate closely with the Business Office Manager on communication, clinic projects, and management priorities.

  • Assist Physicians and the Clinic Director with administrative needs, communications, and project support.

  • Collaborate with other departments to ensure patient care, workflow efficiency, and compliance.

Scheduling & Staffing

  • Oversee daily staff scheduling, including night, Saturday, stay-late, and call-in coverage.

  • Manage requests for time off, FMLA, and LOA in coordination with leadership.

  • Notifies direct reports and relevant leadership staff of changes that affect their job duties.

Time & Payroll Management

  • Monitor and correct staff time punches.

  • Approve payroll biweekly for assigned employees.

Supervision & Development

  • Provide direct supervision including hiring, training, counseling, disciplinary action, and terminations as needed.

  • Complete 90-day and annual staff evaluations in a timely manner.

  • Balance presence between the office (50%) and the front desk (50%) to provide hands-on support and lead by example.

  • Coordinate staff training, education, and competency checkoffs.

Operational Support

  • Ensure reception staff have necessary tools and functioning equipment, arranging repair/replacement as needed.

  • Address patient grievances, complaints, and concerns promptly and professionally.

  • Perform reception duties as needed to support staff and maintain operations.

  • Perform other duties as assigned.

Qualifications

  • High school diploma or GED required; additional training in clerical, administrative, or related skills preferred.

  • 12–18 months of related experience and/or training.

  • 7–11 months of management or supervisory experience (or equivalent combination of education/experience).

  • Strong communication, organization, and problem-solving skills.
